Helpful Tips For Performing A Yearbook Scanning

By Christine Schmidt

Going down memory lane especially from your high school days is important for the sake of reminding yourself of the good old days or simply make references from the past. With the help of a yearbook, this is made possible and can be easily accessed from the library of the school. To keep these memories alive, most institutions are inclined to do Yearbook Scanning.

In the past, details concerning each student were carefully placed in books include photographs, sporting events, interviews, clubs among others. The main disadvantage with paper is that over the years, they become very delicate and can get destroyed. Scanning allows schools to still keep the tradition and memories in place, the only difference is that it will be digitized.

Digitized materials have become a trend and a better way to store information longer. To make this happen, you will require to purchase a scanner these machine will aid in digitizing the documents and allowing you to store them elsewhere. You will also need a storage platform and preferably in this case a school computer which can be connected to the machine using wireless connections.

These books often come with photographs and multiple pages with detailed information about the events that took place. Since the books may have been in stores for a while, the pages and photographs may be dusty. Using a microfiber cloth, clean wipe the dirt and dust off. Dust will impede the scanning process and produce materials that are not clear.

Before you start the process, you will need to have decided on a naming convention for the materials that will be scanned. This should be done using the school computer. Come up with a good naming system, ensuring that you have a precise name for each file considering the fact that it will be accessed by so many people. Ensure that the names are short and simple, basing each folder with the precise year that the book was made.

You may have noticed that most of the documents you are about to scan do not fit the whole glass platform. This should not worry you because the machine comes with some cropping tools. Therefore, when carrying out the task, you need to be very detailed on how you will place the document, and crop out the extra background cover so as to have a fitting document with no white background.

You also have the option of placing more than one photo on the glass platform. This saves on time and is also efficient. However, to get the best results you need to be very careful with how you place the documents. Ensure that no photo overlaps the other or is not aligned. Arrange them properly so that you may have an easier time when using the cropping tools of the machine.

Such work should be done with at least a group of individuals that were initially tasked with the preparation of the books. This is because they will be better at knowing the exact placement of details avoiding any errors when combining the documents. Therefore, there should be no room for errors.
